All Encompassing Terms & Conditions
Welcome to Pole Den! These Terms & Conditions outline the expectations and policies for all students and participants. Please read carefully before booking or attending any class, workshop, event, or private session. By engaging with our services, you confirm your understanding and agreement.
Acceptance of Terms
Booking or attending a class at Pole Den Dance Studio (PDDS) constitutes acceptance of these Terms & Conditions. Policies may be updated at any time, with changes posted on our website and emailed to active students. Continued participation confirms agreement with updates.
Eligibility & Health Declaration
Age Requirement: Participants must be 18+. Students ages 15–17 may attend with signed parental/guardian consent.
Health Statement: By registering, you affirm you are physically fit to participate. Please disclose injuries, medical conditions, or concerns (including pregnancy, vertigo, etc.) to your instructor before class.
Safety Review: Pole Den staff reserve the right to restrict participation if safety is at risk.
Studio Rules & Student Code of Conduct
Hygiene: Please wear deodorant and be aware of body odors. No oils, lotions, or jewelry during class. Clean your pole and shared equipment after use.
Respect: Treat all students, instructors, and staff with respect. Disrespectful, disruptive, or unsafe behavior—including harassment, bullying, body-shaming, hate speech, or discrimination—will result in immediate removal and possible permanent ban without refund.
Safety: Follow all instructor directions. Do not attempt skills not taught in class. Unsafe behavior may result in dismissal from the session without credit.
No peer spotting allowed: Spotting and instruction should only be administered by a Pole Den instructor or hired facilitator.
Substances: Students impaired by or under the influence of drugs or alcohol will not be permitted to participate and will forfeit payment.
Property: Respect studio property. Students are responsible for damages caused by reckless or intentional misuse.
Class Attendance & Punctuality
Arrival: Please arrive 5–10 minutes before class. If another class is in session, you may walk quietly through to the community space.
Late Entry to Class is Not Permitted: Students arriving more than 7 minutes late will not be admitted to class. This ensures a safe warm-up. Late arrivals will be charged as late cancel and may forfeit their class credit.
Class Minimums: Classes with fewer than two enrolled students may be rescheduled or canceled. Instructor substitutions may occur without prior notice.
Cancellation, No-Show, & Grace Policy
Late Cancellations: Cancelling less than 4 hours before the start of the class time will incur a $7 late cancel fee.
No-Shows: Failure to cancel and attend results in forfeiture of credit plus a $7 no-show fee.
Grace Allowance: Students may receive up to two (2) waived late cancel fees per calendar year at management’s discretion. We do not grace for No Shows. It is better to communicate and late cancel.
Private Lessons & Workshops
Private Lessons: Must be canceled at least 6 hours in advance to avoid being charged.
Workshops & Special Events: All sales are final—non-refundable and non-transferable—unless otherwise stated. Space is limited; reschedules are only permitted if expressly allowed.
Memberships & Class Packs
Final Sale: Memberships and class packs are non-refundable and non-transferable.
Auto-Pay Memberships: Must complete their full term. Early cancellation incurs a $100 termination fee.
Account Holds/Freezes: May be requested once per calendar year, for up to 2 months. Requests must be submitted in writing/email at least 7 business days before your billing date.
Waiver of Liability & Assumption of Risk
While training at Pole Den Dance Studio with any of our instructors, independent contractors, or facilitators:
I understand that physical exercise—including pole, dance, aerial, and movement-based activities—can be strenuous and carries inherent risks of serious injury. I am strongly encouraged to obtain a physical examination from a physician before participating.
I recognize that such physical activity may be difficult and could cause or aggravate an injury or medical condition.
I agree that I engage in all activities at Pole Den entirely at my own risk.
I understand and agree:
No cash refunds will be given for any reason. Credits may be issued at the discretion of management.
This waiver and release of liability includes, without limitation, all injuries that may occur as a result of:
(a) Participation in any activity, class, or training session, and
(b) Instruction, training, or supervision by any Pole Den instructor, staff member, or independent contractor.
By participating, I expressly agree to release, discharge, and hold harmless Pole Den Dance Studio, its owners, instructors, staff, contractors, and affiliates from any and all claims, causes of action, or liabilities for personal injury, illness, property damage, or death arising from participation in studio activities—whether caused by negligence or otherwise (except in cases of gross negligence or willful misconduct).
To the extent permitted by law, this release also applies to negligence by Pole Den or its instructors. If any portion of this waiver is found invalid by a court of competent jurisdiction, the remainder shall remain in full effect.
By registering, booking, or attending, I acknowledge that I have read and understood this waiver, and I agree that it cannot be modified orally.
Media & Content Use
Class photos/videos may be used for marketing purposes.
Professional content created on studio premises must credit Pole Den and may not be used commercially without prior written consent.We may use class photos/videos for marketing. Payments, Disputes & Chargebacks
All sales are final unless otherwise noted.
If you believe a billing error has occurred, contact Pole Den directly before filing a chargeback.
Chargebacks filed without prior resolution attempts may result in account suspension. Fraudulent chargebacks may be pursued legally.
Policy Updates
Pole Den reserves the right to amend these Terms & Conditions at any time. Updates will be communicated via our website and email. Continued participation indicates agreement with revised policies.
