Welcome to Pole Den! Please read the following Terms & Conditions carefully before booking or attending any classes, events, or private sessions. By engaging with our services, you confirm that you understand and agree to the following:

Acceptance of Terms

Booking or attending a class at Pole Den indicates agreement to these terms. Terms may change and will be updated on our website and emailed to active students.

Eligibility & Health Declaration

Participants must be 18+ (15–17 with parental consent). You affirm you are physically fit and agree to disclose injuries or conditions to your instructor before class.

Class Attendance & Punctuality

  • Please arrive 5–10 minutes before class starts. If another class is in session, you may quietly walk through to access the community space.

  • Late Entry: Students arriving more than 8 minutes late will not be permitted to join class. This is for your safety and the flow of the session.
    All students must complete the warm-up to participate in class. Skipping the warm-up may result in removal from the session without credit.

  • Cancellation & No-Show Policy: Class cancellations made less than 6 hours before the start time will result in the forfeiture of the class credit.

  • No-Shows will also forfeit the class credit.

  • Grace Policy: A one-time grace cancellation may be issued per student at the discretion of management.

Private Lessons & Workshops

  • Private Lesson Cancellations must be made at least 12 hours in advance to avoid being charged.

  • Workshops, Guest Instructor Sessions, and Specialty Events are non-refundable. These may include limited-capacity events that require prepayment and are not eligible for rescheduling or transfer unless otherwise stated. Please email us in advance with any questions about transfers, waitlists, or one-time exceptions.

Memberships & Class Packs

  • All memberships and class packs are non-refundable and non-transferable.

  • Auto-renewal plans, such as seasonal or monthly memberships (e.g., the Summer Series 3-Month Commitment), must complete their full term. Early cancellation will incur a $95 early termination fee.

  • Account Holds/Freezes may be granted once per calendar year, for up to 2 months. These are approved on a case-by-case basis, and your membership will be extended by the duration of the pause.

    • To request a membership hold, please contact us in writing/email at least 7 business days before your billing cycle.

  • Pole Den reserves the right to cancel or reschedule classes with fewer than 4 students. Instructors may be substituted without prior notice. Students will be notified of any changes as early as possible.

Studio Rules

  • No lotions/oils before class.

  • Clean your pole and shared equipment.

  • All participants are expected to treat each other and the studio space with respect. Disrespectful behavior—including harassment, bullying, body-shaming, or hate speech—will result in immediate removal from class and possible permanent ban without refund.

Waiver & Risk

By attending classes, private lessons, or events at Pole Den, you acknowledge that participation in pole fitness and movement-based activities carries inherent risks. You voluntarily accept full responsibility for your physical health and safety during all sessions, including travel to and from the studio.

You agree to release, discharge, and hold harmless Pole Den, its owners, instructors, staff, contractors, and affiliates from any liability, claims, or legal actions related to injuries, accidents, illnesses, property loss, or damages that occur on-site or during virtual instruction. This includes injuries arising from equipment use, class participation, or negligence (except gross negligence or willful misconduct).

Participation is entirely voluntary, and by registering for any session, you confirm your physical readiness and understanding of these risks.

Media & Content Use

  • We may use class photos/videos for marketing.

  • Any professional content created on studio premises must credit Pole Den and may not be used commercially without written permission.

Payment Disputes & Chargebacks

If you believe a billing error has occurred, contact us directly to resolve the issue. Filing chargebacks without attempting to resolve the matter first may result in permanent account suspension. Any chargeback found to be fraudulent may be pursued legally.

Policy Changes

Pole Den reserves the right to modify these Terms & Conditions at any time. Changes will be communicated via email and posted on our website. Continued participation constitutes acceptance of the new terms.
